We have several departments that require multi-layered rounds of review. Currently, the workflow moves directly from Author to Publisher, which does not align with our needs. In some cases, there are 4–5 levels of leadership between the Author and the Collection Owner. Many processes captured in cards belong to departments whose Publishers are not closely involved in the day-to-day operations.

A Custom Publishing Workflow would allow us to include additional layers of verification beyond what is possible with the current Contributor workflow. For example, adding formal verification steps before a card reaches the Publisher would confirm that approvals have already been given. This would help ensure that the Publisher—who may not be close to the specific process—can confidently publish without re-evaluating the content’s accuracy.

Ideal State: Multiple, configurable approval gates that enable leadership-level or equivalent roles to formally verify cards before they are sent to the Publisher. This would reduce the number of publishing requests reaching Senior Leaders from authors who have not followed the proper process or obtained manager approval. It would also save significant time for executives and improve content quality by ensuring that all necessary reviews occur before the final publishing step.
