Hi,
After completing the academy course on folder (formerly “board”) structuring and permissions, I realized that there is one permission level that I could not find back. This level would allow users to access a collection, such as "HR," and begin adding content to it. Since our company has various locations worldwide, the policy cards in the policy board can vary significantly depending on the regional location. I'm wondering how we can effectively structure multiple boards and cards within a single collection, while also setting regional read or editor levels.
If we share a board with users that don’t have access they only have read access. But if you provide author permissions to a user, they would have editing or read permissions on all board or cards.
This approach of structuring multiple boards and cards within a single collection, while incorporating regional read or editor levels, is crucial for several reasons:
-
Regional Relevance: With different locations across the world, it's essential to tailor the policy cards in the HR collection to be region-specific. Various countries and regions often have distinct laws, regulations, and cultural nuances that impact HR policies and practices. By setting regional read or editor levels, we can ensure that the relevant stakeholders in each location have access to and can contribute to the policies that directly apply to their region.
-
Efficient Organization: Having a single collection for HR policies helps in organizing and centralizing the relevant content. It allows employees to easily locate and access the policies they need, reducing confusion and saving time. By structuring multiple boards within the collection, we can further categorize the content based on different aspects such as employment contracts, benefits, or leave policies.
-
Permission Management: By setting permission levels at the regional level, we can control who can view and edit specific policy cards within each board. This ensures that only authorized personnel can make changes to the policies, maintaining data integrity and preventing unauthorized modifications. Additionally, it enables a collaborative approach, allowing regional HR teams to contribute their expertise and insights to the policies that pertain to their respective locations.
-
Scalability and Flexibility: As our company continues to expand into new regions, having a structured approach with regional read or editor levels becomes increasingly important. It allows us to easily adapt and customize HR policies for each new location while maintaining consistency across the organization. By leveraging a single collection with multiple boards and cards, we can quickly scale our policy management process without sacrificing efficiency or accuracy.
